These Terms and Conditions ("Terms") govern your access to and use of ApplyPilot AI, operated by Advance Careers UK Ltd ("we", "us", "our"), registered in England and Wales (Company No. 13456789).

By creating an account or using our services, you agree to be bound by these Terms. If you do not agree, do not use our services. These Terms should be read alongside our Privacy Policy and Cookie Policy.

ApplyPilot AI provides an AI-powered job search and application platform, including:

• AI job search and matching across multiple job boards

• Automated CV tailoring and ATS optimisation

• AI cover letter and personal statement generation

• Job application tracking and management

• Recruiter email detection and response drafting

• Interview scheduling and preparation tools

• Career coaching (Done-With-You plans only)

We reserve the right to modify, suspend, or discontinue any feature with reasonable notice. We will not be liable for any modification, suspension, or discontinuation of services.

To access most features, you must create an account. You agree to:

• Provide accurate, current, and complete information

• Maintain the security of your password

• Notify us immediately of any unauthorised access

• Accept responsibility for all activities under your account

You must be at least 18 years old to create an account. We reserve the right to terminate accounts that violate these Terms.

Plans: We offer monthly subscription plans (Starter £29/mo, Growth £59/mo, Premium £99/mo, Done-With-You £299/mo). Prices include VAT where applicable.

Billing: Subscriptions are billed monthly in advance. Your chosen payment method is charged on the same date each month.

Free Trial: New users receive a 7-day free trial on the Starter plan. No charge until the trial ends. Cancel anytime during the trial to avoid charges.

Cancellation: You may cancel at any time from your account settings. Cancellation takes effect at the end of the current billing period. No partial refunds for unused time except under our Refund Policy.

Price Changes: We will give you 30 days' written notice of any price increases. Continued use after the notice period constitutes acceptance.

Failed Payments: If a payment fails, we will retry 3 times over 7 days. If unsuccessful, your account will be downgraded to a free tier and data retained for 60 days.

14-Day Money Back Guarantee: If you are not satisfied with our service, you may request a full refund within 14 days of your first paid subscription, provided you have not used more than 10 AI applications.

How to Request: Email billing@applypilots.ai with your account email and reason. Refunds are processed within 5–10 business days.

Exceptions: Refunds are not available for: partially used subscription months after 14 days, Done-With-You coaching sessions already delivered, or accounts terminated for Terms violations.

Consumer Rights: Nothing in these Terms affects your statutory rights under UK consumer law, including the Consumer Contracts Regulations 2013.

You agree not to use our services to:

• Submit false, misleading, or fraudulent job applications

• Generate CVs or cover letters for someone other than yourself without their explicit consent

• Scrape, harvest, or systematically extract data from our platform

• Reverse engineer, decompile, or attempt to access our source code

• Use our platform in connection with any illegal activity

• Circumvent any rate limits, usage restrictions, or security measures

• Resell or sublicense access to our platform

• Use automated tools to access our services beyond the official API

Violations may result in immediate account termination without refund.

Our IP: All platform software, AI models, brand assets, and original content remain our property or that of our licensors. Nothing in these Terms transfers ownership of our IP to you.

Your Content: You retain ownership of CVs, cover letters, and other content you create using our tools. By using our services, you grant us a limited licence to process your content to deliver our services.

AI-Generated Content: Content generated by our AI tools (tailored CVs, cover letters) belongs to you once created. You are responsible for reviewing and ensuring the accuracy of AI-generated content before submitting it to employers.

No Employment Guarantee: We do not guarantee that use of our platform will result in job interviews, offers, or employment. Results depend on many factors outside our control.

Service Availability: We aim for 99.5% uptime but cannot guarantee uninterrupted service. We are not liable for losses arising from downtime.

Liability Cap: To the maximum extent permitted by UK law, our total liability to you for any claims arising from use of our services is limited to the total amount you paid us in the 12 months preceding the claim.

Excluded Losses: We are not liable for: indirect or consequential loss, loss of profit, loss of data, or reputational harm.

**Nothing in these Terms excludes liability for death or personal injury caused by our negligence, fraud, or any matter that cannot be excluded by law.**

We process your personal data in accordance with UK GDPR. Your rights include:

• Right of access (Subject Access Request)

• Right to rectification

• Right to erasure ("right to be forgotten")

• Right to data portability

• Right to object to processing

By You: You may close your account at any time in account settings. We will delete your data within 30 days, except where retention is required by law.

By Us: We may suspend or terminate your account if you breach these Terms, without prejudice to any legal remedies. We will give reasonable notice except where immediate termination is necessary to protect other users or our platform.

Effect of Termination: Upon termination, your right to use our services ends immediately. Provisions that by their nature should survive termination (including IP, liability, disputes) will remain in effect.

These Terms are governed by the laws of England and Wales. Any disputes will be subject to the exclusive jurisdiction of the courts of England and Wales.

Before bringing formal proceedings, we ask that you contact us to attempt to resolve any dispute amicably. You can email legal@applypilots.ai.

For qualifying low-value consumer disputes, you may use the UK Online Dispute Resolution platform at ec.europa.eu/consumers/odr.

We are committed to making ApplyPilot AI accessible to all users. We aim to conform to the Web Content Accessibility Guidelines (WCAG) 2.1 Level AA. If you encounter accessibility barriers, please contact support@applypilots.ai and we will work to resolve them.

We may update these Terms from time to time. We will give you at least 30 days' notice of material changes via email. Continued use of our services after changes take effect constitutes your acceptance of the new Terms.
